This workbook maps every active SDS matter to its insurance carrier billing profile. It ensures that time entries, expenses, and invoices for each matter follow the correct carrier’s outside counsel guidelines (OCG). The goal is to have every matter assigned to a carrier profile so billing compliance is automated in CaseCloud.

🏢 Billing Profiles
The 23 carrier billing profiles. Each card shows the carrier’s platform, rates, banned phrases, narrative rules, travel policy, non-billable items, and invoice rules. Click a card to expand it. You can edit every field — add/remove items using the + and × buttons.
👤 Clients
All 48 SDS clients. Each row shows how many matters are assigned vs. unassigned. Use the “Set Default” dropdown to assign a carrier to all of a client’s matters at once. This is the fastest way to clear unassigned matters.
📂 Matters
All 586 active matters. Each row shows the effective carrier and its source (matter-level, account-level, or override). Use the “Override” dropdown on any row to assign or change a specific matter’s carrier.
📦 Vendors
Records retrieval vendors and their rules. Lexitas (Hanover) and Choice Legal / Ontellus bill carriers directly — SDS does NOT pay these.
1. Assign carriers to the 79 unassigned matters.
Go to the Clients tab and filter by “Has Unassigned.” For clients where every matter goes to the same carrier, set the default. For mixed clients like City of New York, The, go to the Matters tab and override individual matters.
2. Fill in rates on all 23 carrier profiles.
Go to Billing Profiles, expand each carrier, and enter partner/associate/paralegal hourly rates.
3. Review and complete missing profile rules.
Some profiles (like Prime Insurance, AXA XL, Eastern Dentists) are mostly empty. Add banned phrases, narrative rules, travel policies, and invoice rules as you have them.
4. Save when done.
Click Save at the bottom. Your changes are saved to the browser.
Effective Carrier = Override || Matter Carrier || Client Default || UNASSIGNED
The system checks in this order:
1. Did you manually override the matter? (Matters tab dropdown)
2. Does the matter have a carrier from its Billing Guidelines field or claim number pattern?
3. Does the client have a default carrier? (Clients tab dropdown)
4. If none of the above → shows as UNASSIGNED
• Use the search bars and filters on each tab to find what you need quickly.
• The Clients tab sorts by assignment completion — fully assigned clients float to the top.
• Changes on the Clients tab automatically update the Matters tab (same formula).
• Your login session is permanent on this device — you won’t need to sign in again.
